Overall Responsibility
Under the direct supervision of the Director of Finance and the general direction of the Chief Financial Officer, the Procurement Coordinator is responsible for the procurement of goods and services and negotiation with vendors to maximize the Center's purchasing power.

Essential Duties and Responsibilities
  • Procure goods and services (including but not limited to)
    • Maintenance services
    • Vehicle fuel
    • Office supplies and printed materials
    • Educational supplies?
    • Protective equipment
    • Food
    • Furniture
    • Technology
    • Capital expenditure
  • Develop and implement written procurement policies and procedures in accordance with state and Federal funding requirements
  • Review existing vendor relationships and identify potential sources of savings
  • Formalize contracts for key vendors
  • Negotiate favorable payment terms with vendors and maximize available payment discounts
  • Prepare vendor solicitations and evaluate proposals received for formal procurements
  • Maintain vendor diversity by seeking to contract with minority and women owned businesses when possible
  • Analyze costs and seek the most favorable pricing for all goods and services
  • Work closely with maintenance, food service, IT and other departments on specialized vendor requirements
  • Maintain current certificates of insurance on vendors
  • Obtain/maintain certification as a Massachusetts Certified Public Purchasing Official?
  • Provide backup support to Purchasing Specialist during vacations and absences: duties include placing orders, receiving goods, and managing inventory of supplies/equipment

    Qualifications
  • 3-5 years' experience in a procurement and purchasing setting
  • Bachelor's degree preferred
  • Massachusetts Certified Public Purchasing Official (MCPPO) certification preferred
  • Ability to use independent judgment
  • Strong analytical and interpersonal skills a must
  • Ability to maintain contact with employees and vendors in a confidential manner
  • Working knowledge of Microsoft Excel, Word, and Outlook
